The terms and conditions documented here are for all services provided by The Property Inventory (from hereon known as TPI) to any prospective client (private individual, corporation, representative of the client). By instructing us the prospective client is deemed to be in agreement with all the terms and conditions set out below without exception. If you do not agree to our terms and condition please do not use our website.
Privacy policies
Your privacy is important to us and applies to all services offered by TPI. At the time you instruct us we will collect certain data about you, about your potential tenant, your agent or any witnesses. We may use or share such information with relevant third parties to ensure that your job is carried out smoothly. Further more you accept that you consent to this privacy policy, our cookies policy and our website terms of use.
Pricing
All prices will be agreed for each job between TPI and the instructing principle prior to commencing the job and confirmed via email.
Payment
Agents – we require full payment at the time of booking as per agreed terms which is subject to change as relationship builds
We reserve the right to keep full possession of a report until payment has been received.
If payment not made by due date – any discounts or reductions agreed will be withdrawn and invoice will revert to full fees
Private Landlords – We require full payment prior to the booking unless otherwise agreed. Payment may be taken prior to the booking date via debit, credit or bank transfer for which our full bank details with be provided
Any instructions request for Bank Holidays/Sundays can be subject to a surcharge of £25
Cancellations
Cancellations must be made at least 24 hours before the appointment or a cancellation fee of £50 will be payable. Should a clerk arrive at a property or agents office for a key pickup and not be able to gain access, a fee of £50 will be chargeable
Insurance
TPI carry a full Public Liability and Professional Indemnity Insurance
DBS (Disclosure and Barring Service)
Basic DBS held by all clerks
Delivery
TPI will aim to delivery electronic copies of completed reports 24 – 48 hours Monday – Friday.
All reports remain the property of TPI and may not be electronically copied, altered or retained without permission from TPI.
The Landlord/Agent/Tenant is responsible for checking the report on delivery. Any dispute over it contents must be notified within seven working days.
Clerks must be left alone to carry out the inspection in an un-bias and impartial manner at all times. Failure to comply could cause distractions that could result in missing issues/damage/areas. We cannot be held responsible for this in any way. Quiet working conditions are of the utmost importance.
On check outs all furnishings and any other items must be back in their original place as we will not be able to list them as present unless back in their place/room as in the original report. They may be listed as missing/not seen.
We reserve the right to change times of bookings, should things delay our clerks which are beyond our control.
We cannot be held liable in anyway for any damage, theft, security or loss that we are told to have caused or have caused to a property or the furniture, fittings, keys and locks.
We have limited liability when the original inventory was not conducted by TPI. We can only work as as the report that has been provided to work off when carrying out a check out or check in.
We cannot guarantee the quality/accuracy of a report in the event that cleaning staff are carrying out a clean at the time or the inventory/check-in/check-out.
We accept no liability for any issues or differing opinions. We will fully investigate any issues along with the landlord/tenant/agent.
We reserve the full rights to change our terms and conditions, prior or present agreements made with clients, without any notice or contact.
Key Handover
For all check-in carried out we will hand over the keys after confirming identity.
We will ask for ID but will not be held liable if this is invalid or forged.
1. THE PROPERTY INVENTORY (TPI) covers the property only to the extent that the condition of the premises permits. It only extends to the parts of the premises that are readily accessible. All other parts of the premises i.e. attics, garages, lofts and communal areas that are not relevant to the inventory, are specifically excluded.
2. This document is considered to be an accurate assessment of the contents and condition of the property. You have 7 days from the date of this report to notify us in writing of any amendments you wish to make. These should be sent to info@thepropertyinventory.com, the agent or updated on the report. If no amendments are received within this time you are deemed to have agreed with the contents of this report. Amendments will only be made to the report with all parties’ agreement. It is the responsibility of the Landlord and Tenant to agree to amendments prior to sending any request to TPI.
3. Unless the Inventory is carried out in daylight hours, the exterior and belongings will not have been inspected.
4. If a garden needs inspecting TPI will endeavour to mention plants and shrubs however TPI considers plants to be perishable.
5. Lighting, electrical appliances, machinery and other similar items will be tested where practical, and in any event for power supply only. Burglar alarms and panic alarms are not tested.
6. Carpets, rugs and other floor coverings have been inspected to the extent that they are sufficiently clean so that stains and markings, including burns and other damage can be readily identified.
7. Unless otherwise stated in writing, items in boxes, plastic sacks and other containers are assumed to be awaiting removal and are specifically excluded from the inventory.
8. All items are described only so that they can be identified. Sizes of objects are given only as approximate and are purely an aid for identification.
9. Property left in lofts and locked rooms, which have not been seen and recorded, are the sole responsibility of the Landlord and cannot be added to the Inventory without prior arrangement. Cellars will not be inspected.
10. It should be noted that the compiler of this report is not an expert in fabrics, woods, materials, antiques, etc and not a qualified surveyor. This inventory should not in any way be used as a report for valuation purposes for the premises and its contents or as a structural survey report.
11.The inventory has been prepared on the accepted principle that, in the absence of comments in the condition column, items are visibly free of defects, soiling, damage or missing parts.
12. Every effort has been made to carefully check the property and its contents, however, TPI representative cannot move extremely heavy contents, nor can we undertake to attempt entry to inaccessible places. Our clerks will not report on areas such as overcrowded drawers & cupboards.
13. The TPI representative is not aware of recently bought items. New is only stated if the item is still within packaging. This inventory has been compiled on the basis that, unless otherwise stated, an item is free from visible soiling, defects or damage.
14. Newspapers, magazines, perishables, houseplants are not included unless specifically requested. Books, compact discs, DVDs, videotapes and other similar items will not be listed individually but will be stated as ‘collections’.
15.Properties containing large amounts of assorted crockery, cutlery, glasses etc will not have items listed individually but will be listed as “assorted items”. If detailed count is needed this must be requested prior to starting – an additional charge will be quoted
16. The person preparing the Inventory is not an expert in The Fire and Safety Regulations in relation to soft furnishings. It assumes that all furnishings & fabrics have been checked by the landlord and/or managing agent to ensure they comply with the relevant regulations at date of compilation.
17.Any Inventories compiled with the tenants in situ may contain inaccuracies for which we cannot be held responsible.
18.Smoke alarms, heat alarms and C02 alarms will be listed on the inventory but will only be tested for sound in accordance with the legislation of October 2015 and only where practically possible to do so. Liability for ensuring the property complies with the legislation remains with the Landlord.
19. Meter readings can only be taken if meters are accessible and clearly marked. Otherwise the reading must be taken by the relevant boards.
20. It is essential that all items are returned to respective rooms as listed on the original Inventory before the Check Out is due to be carried out. Where items have not been returned to their original position and are not easily seen they may be noted as “Not Seen” on the Check Out and their replacement may be charged for.
21.All personal items should be removed prior to the Check Out and the tenant should be ready to vacate the property at the end of the Check Out returning all sets of keys.
22.Unless otherwise stated, the report was carried out at the date and time stated on the front cover and all photos were taken during the inspection.
23.Blinds in the premises are visually checked. We are unable to verify that the blinds comply with child safety requirements of BS EN 13120:2009 + A1:2014 placed on the manufacturer, supplier and professional installation of internal window blinds.
